Business Meeting MinutesFebrurary 17, 2009
Meeting called to order, 7:05pm

- Treasure’s Report: Current checking account balance is $4,312.58. Our check for AJLI dues has been cashed. Also have the CD in Huntington for $5000.00.

I. Old Business
a. Core Mission Statement presented by the Board
The Junior League of Fairmont supports and promotes community efforts to ensure well rounded enrichment opportunities for local families by sponsoring educational events and providing cultural programs.
i. Kathy as a member of the Board first, Sharon second
ii. Mission Statement voted in

b. Update on child enrichment program by Sharon H.
i. Meeting to discuss beginning stages of Saturday AM Live will be at Suzanne’s home @ 201 Kimberley Circle, Fairmont on Thursday, Februrary 19th

II. New Business
a. Rewriting Junior League of Fairmont bylaws
i. Committee includes: Sharon and Nan
b. Slating of Officers
i. Discussed: officer nominations, Janine’s suggestion for at least 2 of the 4 current Officers to remain (including President), and rewriting the bylaws to allow Officers to serve a 1 year term and have the option of serving a second year.
ii. Discussion over the current President remaining for a second year. Bylaws state that the Board must make a decision on this.
iii. Five positions will be open for nomination: President Elect, Treasurer, Corresponding Secretary, Recording Secretary, Nominating Committee Member
iv. Nominations are due (via email, snail mail, or phone call) no later than February 24 to Kathy Servian, Nominating Committee Member (kservian@yahoo.com)
v. Kathy will contact those nominated, and members accepting nomination(s) must put together a brief bio about themselves and send to Kathy no later than February 25.
vi. Discussion about current bylaws that state nominations must be sent out at least 14 days prior to voting. Because of our short time table, Sharon moved to make an exception within the bylaws - for this nomination year only – to make nominations due at least 5 days prior to voting. Paula second. Exception voted in.

c. Spring Meet N Greet
i. Some discussion about moving this to June during the annual meeting.
ii. Discussion tabled until March Business Meeting

d. Fairmont Arbors
i. We will be donating one heating pad to an Arbor resident
ii. Action Item: Kathy S. to purchase the heating pad and deliver

e. Garden Expo Book Fair
i. We will be working with Osbourne Books again this year to raise money for books for Head Start, and will have a Kids in the Kitchen Booth set up
1. Action Item: Paula to contact AJLI about getting Kids in the Kitchen marketing materials.
ii. Garden Expo will be March 6 – 8 @ Middletown Mall
1. Need volunteers to work 2 hour shifts
a. Friday, 11am – 1pm: Cecilia B.
b. Friday, 5 – 7pm: Paula H. & Kathy S.
c. Everyone invited to attend as guests on Friday from 5-7pm.
2. Saturday: Cecilia B., Sharon H., and Cecilia’s Girl Scount Troop, will be switching off during the day to work the Book Fair and the Kids in the Kitchen booth.
3. Sunday, 12 – 2:30pm: Erinn C. & Deanna P.
4. Need additional volunteers for the open time slots.
